Key Steps to Troubleshoot Non-Triggering Zaps

  • Verify Zap Status:Confirmed the Zap was usually switch “On” in the dashboard.
  • Check Task History:Review the Zapier Task History for errors, as it would show if a Zap failed or was filter out.
  • Reconnect Apps:Re-authenticate the connected apps to certains tokens had not expired or permissions changing.
  • Check Trigger Data/Filters:Certains the data come up from the source match out the filter conditions. If a filter was used, it might be preventing the Zap from the running.
  • Update/Re-test Trigger:If the app has updated its API, re-select the trigger event in the editor.
  • Check for Delays:On free or lower-tier plans, polling triggers may take up to 15 minutes to run.

  • Reconnect Your Account:Go to the Trigger step in editor, hit the Account tab, and selected Reconnect if you could see the “expired” alert.
  • Verify Permissions:Ensure your connected app account has full administrative access or the necessary third-party integration permissions. 

3. Configuration and Logic

  • Validate Trigger Event:Double-check that the correct Event was selected (e.g., “New Lead” vs. “New Contact”).
  • Check Polling Delays:If the Zap use the polling trigger, checks it for data every 1 to 20 minutes depend on the plan. It might simply be wait for a next check.
  • Review Filters and Paths:If you had the Filter or Path instantly following the trigger, the Zap might be running but stopping as the conditions were not being met. 

4. Advanced Troubleshooting

  • Use “Test Trigger”:In the editor, select out Test trigger and hit Find new records. If Zapier could not explore the recent data during this test, the issue was likely with a source app’s configuration or the connection break.
  • Force a Refresh:Try turning Zap Off and then back On to refresh the connection to trigger app.

    • Instant Triggers:These using webhooks and fire as soon as data was created.
    • Polling Triggers:These check the source app at intervals (1, 2, or 15 minutes depending on the plan). If your Zap had not run yet, it might simply be waiting for a next schedule poll.

4. Advanced Troubleshooting Steps

  • Run a Controlled Test:Creating the brand-new, clearly identifiable record in the source app (e.g., a lead named “Test_2026_Fix”). Then, in Zap editor, hit Test trigger and choose out Find new records to see if Zapier could detected it manually.
  • Force a Refresh:If everything looking correct but nothing was happening, toggle the Zap Off and then back On. This could sometimes re-established the “stuck” connection with source app’s API.
  • Inspect App-Specific Restrictions:Few apps, like Google Sheets, had unique rules. For example, Google Sheets triggered usually only fire when rows were added to the bottom of the sheet; inserting rows in middle could breaking a trigger.
